Summary of Duties and Responsibilities
The Administrative Assistants IV will function in multidisciplinary Department coordinating the preparation of a variety of items such as travel requests, professional service orders, requests for sponsored travel, official duty activity memoranda, leave authorizations, training requests, individual/mass mailings, correspondence, reports and various forms, this include but not limited to assisting in the development of Standard Operating Procedures (SOPs), maintain SOPs, update SOPs, guidance documents or instructions associated with the programs and systems used in the organization. In addition, provide administrative, procedural, and informational resource support; work with staff to coordinate program workflow such as assisting senior leadership in coordinating the day-to-day office operations, including, but not limited to problem and conflict resolution, organization, and prioritizations of tasks; respond to written communications.
Working Hours
The Administrative Assistant IV normally will work Monday through Friday, 7:30am to 4:30pm, with a 30-minute lunch, excluding Federal Holidays. Telework/Remote Work may also be authorized, as needed.
Qualifications
- Possession of a college degree or a high school diploma and four (4) years of related work experience.
- Ability to perform more complex administrative tasks.

Duties and Responsibilities
- Coordinate the preparation of a variety of items such as travel requests, professional service orders, requests for sponsored travel, official duty activity memoranda, leave authorizations, training requests, individual/mass mailings, correspondence, reports and various forms.
- Assist in the development of SOPs, maintain SOPs, update SOPs, guidance documents or instructions associated with the programs and systems used in the organization.
- Provide administrative, procedural, and informational resource support; work with staff to coordinate program workflow.
- Work with staff on proofreading, recommending, interpreting, and/or implementing internal administrative policies and procedures.
- Ensure that all necessary documentation is prepared and that signatures, approvals, clearances are obtained for recruitment/appointment of professional, technical, and support staff, renewal/extension of appointments, reassignments, pay increases/adjustments, separation/termination, etc.
- Coordinate meetings, workshops, and courses for staff; schedule conference rooms.
- Coordinate meeting planning and logistical arrangements, including room and audiovisual reservations, WebEx, and other remote connection arrangements; prepare and transmit agendas and relevant materials; contact and communicate with participants; prepare and distribute meeting minutes.
- Establish and maintain a fiscal year calendar; update shared calendars and databases; coordinate filing of office-wide reports and other activities including performance management documents, awards, committee memberships, etc.
- Research requested information and provided guidance on; maintain status of projects; follow up on actions through contact with office staff produce a wide range of documents; address a variety of office needs which may include word processing, information management, report preparation, publications, information gathering, communication, etc.
Acts as point of contact with management and administrative, budget and property management staff.
- Develop, maintain, and utilize various administrative databases.

- Maintain contacts database; update/maintain calendars and shared calendars for multiple staff members.
- Develop, update, and maintain spreadsheets to analyze information, including personnel, budget, travel, and training; develop budget proposals; monitor expenditures; create summaries and report based on information; oversee administrative reference documents such as staff schedules, tours of duty, contact information, budget tracking, etc.; upload, organize, and maintain information on SharePoint.

Duties and Responsibilities
- Knowledge of file management concepts to establish and maintain physical and electronic records, and to research and address questions and assist staff.

- Serve as a liaison with the Office of Human Resources to resolve routine processing problems and to follow up on actions already submitted.
- Use various software applications such as word processing, spreadsheets, and databases. Retrieve data from various databases in conjunction with assignments.

- Communicate effectively on the status of current projects, including timeframes and document requirements, and key operational issues through formal and informal communications.
- Participate in on-the-job training (i.e., thorough review and discussion on packages, utilization of the various administrative systems, and researching policies and procedures).

Mandatory Qualifications
- Shall have a minimum of 2 years of experience in aerospace medicine or military primary care in the past 5 years.
- Shall have a minimum of 2 years of experience consistent with a prior flight and operational medical technician (4N0X1F), core aerospace medical service (4N0X1), or equivalent sister service positions. Relevant experience would include performing operational medicine clearances (ex: Periodic Health Assessments (PHA), Deployment Related Health Assessments (DRHA), Separation History & Physical Exam (SHPE), retraining/reclassification, overseas clearances, Palace Chase/Palace Front (PC/PF) and interpreting and applying medical standards.
- LVN/LPN candidates will be clinically current and able to meet credentialing requirements of 88th medical treatment facility.
- Shall have experience utilizing military Electronic Health Record (EHR) systems and other military Health Information Technology (HIT).
- Shall have the ability to critically think, problem solve, and effectively communicate through both writing and speech.
Highly Desired Qualifications:
- Lean or Six Sigma Green or Black Belt certification and prior instructional experience

Work Summary:
The 711th United States Air Force School of Aerospace Medicine (USAFSAM), Aerospace Medicine Department (FE) Department develops Base Operational Medical Clinic (BOMC) workflows. Development of these workflows is complex and have a direct impact on troop medical readiness, affecting the end-strength of the Air Force, thus making quality the first priority. However, often conflicting with quality, the workflows are executed by medical personnel, who are judged on speed of care/efficiency which can contrast with quality.
Due to this inherent tension, BOMC workflow development requires a vast knowledge base: engineers, medical subject experts, instructional designers, and other laypersons have to collaborate in a shared space to ensure workflows developed for clinical situations have highly reliable/standardized processes, while remaining effective and palatable for the field.
The workflows are primarily implemented in the Aeromedical Services Information Management System (ASIMS), however, other methods (paper, electronic forms, MHS GENESIS, AHLTA) may institute these workflows. Any coding of these workflows into Electronic Health Records or Operational Systems are done by a separate office. Training created to support workflows are implemented on the Air Forces distributed learning service, and a variety of in-person classes.
The workflows designed are inherently military in nature and other than Occupational Health, do not have a civilian counterpart. At base, these workflows involve medical staff comparing a Service Members medical history and current condition to a list of medical standards in order to clear the member for continued service, new assignment, or retirement.

- Maintain permanent, full, and unrestricted state license to practice medicine, and must meet credentialing/accreditation requirements of the Wright-Patterson AFB Medical Group, Accreditation Association for Ambulatory Health Care, Joint Commission, Headquarters, Air Force Major Command and Headquarters, U.S. Air Force.
- Experience working with and evaluating USAF personnel or other DoD aviation or special duty personnel or a minimum of five (5) years of aeromedical cardiology experience.
- Be able to interpret clinical evaluations for aircrew, special duty operators, and other airmen required in support of FECI consultation, teaching, and research task requirements.
Highly Desired Qualifications:
- Have experience with writing comprehensive reports for third-party use, as well as working on publications for peer-reviewed cardiology journals and being able to create articles for publication independently.
- Active DoD Security Clearance.
Duties/Responsibilities:
- Conduct comprehensive occupational aeromedical cardiac chart reviews on disqualified USAF aircrew with cardiac conditions requiring a waiver to return to operational duties, in support of the cardiology research and as needed to maintain clinical proficiency in aeromedical cardiology.
- Operate as an independent specialist within the Internal Medicine Branch and Aeromedical Consultation Service. The contractor shall participate in clinical conferences and consult with other aeromedical specialists within the division in support of research and as needed to maintain clinical proficiency in aeromedical cardiology.
- Serve as an expert consultant or advisor as required in aeromedical cardiology matters in the course of maintaining clinical proficiency in aeromedical cardiology.
- Shall gather and maintain patient information and records, including social or medical history in relation to coronary artery disease and as needed for evaluations performed to

- Shall conduct Aeromedical Consultation and Medical Flight Screening (FECI) instruction/lectures via PowerPoint presentations to flight surgeons, aerospace physiologists, psychologists, and international flight surgeons in training at USAFSAM on results of FECI case reviews and research related to coronary artery disease as applied to the delivery of aeromedical cardiac consultations.
- Shall design plans for scientific and statistical investigations regarding coronary artery disease utilizing data from FECI research data determined to be relevant to teaching and consultative mission tasks and applicability to aerospace medicine and present findings at national and international conferences.
- All scientific and statistical investigation plans will be coordinated with and approved by FECI professional staff and Contracting Officer Representative (COR) for improving branch teaching and consultation capabilities.
- Shall collaborate with FECI professional colleagues and other FECI staff and organize a review of scientific literature on coronary artery disease and participate in the discussion of same with FECI professional staff and contractors, as needed in support of research tasks.
- Assist FECI professional staff and senior statistician in authoring scientific paper(s), professional presentation(s), and DoD technical report(s) in support of coronary artery disease research tasks.
- The number of presentations, reports and papers shall be determined by FECI branch chief and principal investigator based on the relevance of findings as they become available.
- Assist in the data analyses, research design, report writing, and research collaboration of FECI research projects.
- Provide and receive technical guidance and advisory recommendations to and from FECI professional staff regarding coronary artery disease research project management, as well as complex case reviews for S&A studies.

Duties/Responsibilities:
- Provide program management assistant support to the En Route Care lead program manager, in efforts to carry out and manage the Air Force Medical Service and Assistant Secretary of the Air Force/Science, Technology, and Engineering prescribed medical research strategies for cost, schedule and performance.
- Assist with providing primary managerial support of project scientist and project statistician and serve as an effective liaison between the Air and Space Biosciences Division executive staff and project staff.
- Troubleshoot all project information system needs, as well as assist in designing and maintaining En Route Care program management business documentation and financial reports/records.

- Maintain permanent, full, and unrestricted state license to practice medicine, and must meet credentialing/accreditation requirements of the Wright-Patterson AFB Medical Group, Accreditation Association for Ambulatory Health Care, Joint Commission, Headquarters, Air Force Major Command and Headquarters, U.S. Air Force.
- Experience working with and evaluating USAF personnel or other DoD aviation or special duty personnel or a minimum of five (5) years of aeromedical cardiology experience.
- Be able to interpret clinical evaluations for aircrew, special duty operators, and other airmen required in support of FECI consultation, teaching, and research task requirements.
Highly Desired Qualifications:
- Have experience with writing comprehensive reports for third-party use, as well as working on publications for peer-reviewed cardiology journals and being able to create articles for publication independently.
- Active DoD Security Clearance.
Duties/Responsibilities:
- Conduct comprehensive occupational aeromedical cardiac chart reviews on disqualified USAF aircrew with cardiac conditions requiring a waiver to return to operational duties, in support of the cardiology research and as needed to maintain clinical proficiency in aeromedical cardiology.
- Operate as an independent specialist within the Internal Medicine Branch and Aeromedical Consultation Service. The contractor shall participate in clinical conferences and consult with other aeromedical specialists within the division in support of research and as needed to maintain clinical proficiency in aeromedical cardiology.
- Serve as an expert consultant or advisor as required in aeromedical cardiology matters in the course of maintaining clinical proficiency in aeromedical cardiology.
